Guidelines to attend in person
Plenary sessions will be held in the Pickavance Lecture Theatre at RAL, with retransmission to the main room of the Visitor Centre where there will be overflow seating.
The Hamilton Room in the Visitor Centre and CR12-13 (joined as one room) will be used along with the above for the parallel sessions.
These rooms are circled in magenta on the RAL site map. Emergency contacts are also listed.
On arrival at the event you will be asked to sign in at the registration desks, where you will receive a pack with registration materials, name badge and a dinner ticket (if you have registered to attend).
Coaches
Most conference guests will be staying in Abingdon and transported to the conference venue by coach. Departure times (sharp) from the two hotel coach stops are as follows:
Cosener's House (1 coach): Monday: 08:30, Tuesday and Wednesday: 08:15.
For Coseners House pick up you need to walk through the alley and wait at the bus stop opposite the Crown and Thistle hotel. This is also where you will be dropped off.
Hilton Garden Inn (3 coaches)
Monday: 08:30, Tuesday and Wednesday: 08:15
Please board in the hotel car park. Drop off is at the same point.
Coaches back to the hotels will be provided on Monday and Tuesday. Departures on Monday will be staggered from 18:00 - 20:15. For those not attending the dinner on Tuesday, departure to the hotels will be at 18:00.
Coaches to Oxford and Didcot train stations will be provided at 16:30 on Wednesday if you have contacted Keenda to request this. *Please note, no further requests can be made at this time*
Internet - Wi-Fi
Wi-Fi connection is available via Eduroam. If you do not have access to Eduroam please connect to https://clearpass.rl.ac.uk/guest/register.php?_browser=1 and complete your request for guest Wi-Fi.
Lunches and coffee breaks
Catering during lunches and coffee breaks will be provided both at the marquee and the Visitors Centre (to avoid overcrowding). However, catering for special dietary requirements at lunch will be available from the marquee only.
Conference dinner
Please note the conference dinner is restricted to those that have indicated attendance during registration. No further tickets are available, and unfortunately it will not be possible to bring any guests. Tickets will be included with the name badges.
The dinner will be held at the Williams F1 Experience Centre from 18:00 on 5th April.
All guests must be registered with Williams. You’ll soon receive an email asking you to register with them, and you must do so prior to arrival to be allowed on-site.
Furthermore, Williams require that all attendees test negative for COVID so please bring a lateral flow test with you to take 24 hours before attending, and be prepared to show evidence of the negative result.
Coaches will be provided from 17:45-18:00 outside the Pickavance lecture theatre. You’ll be able to leave your bags on the coach. Departure from the Williams F1 Experience Centre back to the hotels will be around 22:45.

Guidelines to attend sessions online
Zoom links have been sent by email to all registered participants. Questions from Zoom in the plenary sessions will be via text only. Parallel sessions will be broadcast only (no remote questions).
